Hotel booking

We are going to use the following scenario to create an example hotel booking listing which should help you to create your own booking listings for your hotel. Pay close attention to the details.

Booking Listing Scenario

  1. Customers can book a minimum of 1 night and a maximum of 7 nights.
  2. Customers can cancel the booking 1 month (30 days) to the booking date. It implies that bookings that are made less than one month to the booking date cannot be cancelled.
  3. Bookings can be made for any night from the current date but not more than 12 months into the future. E.g. Assuming today is 31st January, customers can book any date from now to 31st January the following year but not beyond. On 1st February, customers can book any date up to 1st February the following year but not beyond.
  4. All days in the week are bookable.
  5. The hotel has 4 types of rooms
    • 20x Standard @ gh₵50 per room per night
    • 8x Deluxe @ gh₵80 per room per night
    • 6x Super Deluxe @ gh₵100 per room per night
    • 2x Royal @ gh₵150 per room per night
  6. The hotel serves the following meals
    • Breakfast @ gh₵12 per head per day
    • Lunch @ gh₵25 per head per day
    • Dinner/Supper @ gh₵30 per head per day
  7. The following optional services are provided at additional fees
    • BBQ Party – a flat one-time fee of gh₵25 for the duration of the booking
    • Buffet – a flat one-time fee of gh₵8 for the duration of the booking
    • Swimming pool – a flat one-time fee of gh₵12 for the duration of the booking
    • Children playground – a flat one-time fee of gh₵5 for the duration of the booking
    • Casino Royal – a flat one-time fee of gh₵15 for the duration of the booking
    • Wifi Router – @ gh₵5 per head per night
  8. You take a mandatory deposit of 25% for every booking – Full payments are not allowed at the time of booking.

The setup is illustrated in the screenshots below with explanation.

Create a new product
  • Point to “Products” in the left panel menu and click “Add New” submenu item. If you are already on the “Add Product” page, you can click “Add New” button at the top right corner (see the image below).

  • Select “Accommodation product” from the product type dropdown.
  • Check the “Has Resources” and “Has Persons” boxes.
  • Check “Catalog” if you wish to activate catalog mode. With catalog mode, you can turn on or off the price and add to cart display on the frontend.
  • Enter a descriptive name, such as your hotel name, for your product.
  • Choose a category for your product. Put the product in the main category if there is no subcategory for it. You may request for a category, a tag or an attribute using the “Request category, attribute or tag” form in your seller dashboard.
  • Choose some tags for your product – Tags are keywords that describe your product, e.g. hotel, guesthouse, accommodation or bed.
  • Click the large image placeholder on the right and upload the main image for your product. Daapia.com uses landscape images at a ratio of 3:2 for product images, so match your images to these dimensions. You may upload portrait or square images, but note that they will be cropped and you may lose important details of the image. The image width should be 600 px landscape (This is for services listings. Non-service listings have a width of 1280 px). The image file size must not exceed 1 MB.
  • Click the small image placeholder to add gallery images for your products. These are additional images which showcase your product from different angles. They follow the same rules as the main image above. You can add up to ten (10) product images depending on your membership plan. See Selling tips for more information about product images.
  • Catalog visibility – This setting controls where your products will be visible. You want your products to be visible in as many places as possible. You should leave the default value of “Shop and search results”. Choosing the hidden option will prevent your product from being seen by shoppers.
  • Short description – Add a one-paragraph summary description of your product.
  • Description – Add a detailed description of your product. Add any relevant information that has not already been added in another product field. You may list the facilities that you provide with each booking here.
  • Scroll down to the panels section.

The panel opened by default is “Accommodation”.

This is where you configure the minimum and maximum number of nights and the cancellation option for the booking. Fill in the form as shown in the image above. If you check the “Requires confirmation” option, customers won’t be able to make payment during booking. You will have to confirm the availability of the booking later and collect the payment.

Next, click the “Availability” panel.

This is where you set how far into the future bookings can be made and which days are available for booking. Set only the two fields marked in the image. Since all days are available for booking, we do not touch the “Rules” section.

The “number of rooms available” will be set for each room type, so you don’t need to bother with it here.

Next is the “Resources” tab.

Here you define the different types of rooms, their quantities and their booking cost. Configure them as shown in the images below. You can add a new room type by clicking the circled + sign. You can remove a room type by clicking the circled x sign. See the bottom-most image.

Accommodation Add-ons

Next, go to the Add-ons tab. This is where you define the meals and optional services your hotel offers. Use the “Add Field” button to add new field groups, e.g. the ones for breakfast, lunch, dinner/supper and resources (see first image below). Use the “Add Option” button to add a new item to a group, e.g. BBQ party, swimming pool (see last image below). Set up the panel as shown in the images below.

Accommodation Deposits

Next is to the “Deposits” tab. In this tab, you define how you are going to collect deposits for your bookings. Remember that, for our example, you take a mandatory deposit of 25% for every booking and full payments are not allowed at the time of booking. Set up deposits as shown in the image below.
